How the EAGER RTN grant is administered ======================================= We've tried to set up systems that are simple to operate and cover most of the legal and practical eventualities. This is a first draft, and is subject to corrections. Fellowships =========== Fellows are theoretically employed by Univ. of Warwick. ** Employment data The Univ. of Warwick needs employment data to prove that the fellow is legal (European national, under 35, not employed in the UK for the last two years): C.V., copy of passport. This data is most conveniently provided by fax to me +44(0)2476524182 or to Georgina Copeland at the Maths Inst. (george@maths.warwick.ac.uk) ** Salary and expenses payments The Univ. of Warwick can issue a cheque to the fellow to cover salary and expenses. The salary is determined by a formula based on the R.A. scale (I think it works out at approx UKL2,000 per month). Normally it takes about a week to issue a cheque from the time a well formulated request is received. We normally only issue crossed cheques, which means that the fellow will need a UK bank account, or the cheque needs to be made payable to the fellow's home bank account; we could in principle issue an open cheque to a fellow who is at Univ. of Warwick to collect it. To set up a cheque, we need: (i) the time of employment (e.g. 5 weeks from Mon 5th Mar 2001. If the fellowships consists of several disjoint time intervals, we prefer that you only claim for intervals separately.) (ii) local travel costs (e.g. UKL200 to allow 2 day trip to Durham and 2 day trip to Warwick; please claim a plausible maximum, and try to make sure that the money is used) (iii) international travel cost (e.g. air fare Venice -- Manchester return plus airport bus fares. As an alternative, your univ. can pay this air fare and invoice Univ. of Warwick for it.) (iv) method of payment (i.e., UK cheque, or details of fellow's home bank account). This data can be provided by e-mail or fax to me, or to Ann Hemmings at the Maths Inst. (e-mail ann@maths.warwick.ac.uk) ** Time sheets Fellows are required to fill in a time sheet for each month of their fellowship. The reason for this is that the EU is entitled to audit Univ. of Warwick (to check that we have spent their money legally, and that the fellow worked on the contract for the time she was employed). The time sheet is designed to be simple to administer, relevant to the working practices of mathematicians and helpful in collecting data for the report. The time sheet is on my website www.maths.warwick.ac.uk/~miles/EAGER/TimeSheet.tex www.maths.warwick.ac.uk/~miles/EAGER/TimeSheet.ps or can be sent by e-mail. ** Overheads Univ. of Warwick will receive overheads from EU for each fellowship (the stated rate is 20\%, but we don't yet know exactly how it will be calculated). For fellows at other universities, Univ. of Warwick is undertaking to pass on 75\% of the loot. This should take place as a transfer between the admin. Conference expenses =================== We can normally pay international travel and a per diem. It takes about a week for Univ. of Warwick to issue a cheque or a cash payment. We normally issue a crossed cheque if the visitor has a UK bank account, or make the payment to the fellow's home bank account; we can issue an open cheque to a fellow who is at Warwick to collect it, or in some cases arrange cash payment. Visitors should provide photocopies of air tickets, travel agent's receipt, and a calculation of the currency conversion (state the conversion rate), and the dates for which the per diem is to be paid; this can be sent by fax, preferably before the visit, to me or to Ann Hemmings at the Maths Inst. (e-mail ann@maths.warwick.ac.uk) An alternative is for you to get your univ. to pay the air fare and per diem (and keep evidence), then invoice Univ. of Warwick for it.
